If a client, bank, or platform has asked you for a W-9, you need to return a clean, correctly completed form quickly. With iFillPDF you can open the latest fillable IRS Form W-9 right in your browser, type your details into every field, and download the finished PDF. There is no software to install and no account required to start. The official blank form is the IRS Form W-9 (Rev. March 2024), and this tool loads that exact version so you never send an outdated copy.

What is the W-9 and why are you being asked for it?

Form W-9, the Request for Taxpayer Identification Number and Certification, is how a U.S. person hands their correct legal name and Taxpayer Identification Number (TIN) to whoever pays them. The payer keeps the form on file and uses it to report your payments to the IRS, most often on a 1099-NEC at year end. Filling it out does not mean you owe anything now; it simply lets the requester report accurately and avoid backup withholding.

Who needs to complete a W-9?

You will typically be asked for a W-9 if you are an independent contractor, freelancer, sole proprietor, single-member LLC, partnership, or vendor providing services to a U.S. business. Banks and financial institutions also request a W-9 to certify the TIN on interest-bearing or dividend accounts. If someone is going to pay you and report it, expect a W-9 request before your first payment clears.

How to fill the W-9 field by field

Part I covers your identifying information: your legal name exactly as it appears on your tax return, an optional business or disregarded entity name, your federal tax classification, any exemption codes, and your full address. Check only one classification box, whether that is individual/sole proprietor, C corporation, S corporation, partnership, trust/estate, or LLC with the proper tax code. Part II is your TIN: enter your Social Security Number if you file as an individual, or your Employer Identification Number if you operate through a registered entity, but never both. Part III is the certification, where you sign and date to confirm the information is accurate. The AI field detection in iFillPDF highlights each of these so nothing is missed.

SSN or EIN, and one important warning

The single most common mistake is mismatching the name and TIN. The IRS matches the name on line 1 against the TIN you provide, so a sole proprietor using a business name on line 1 with a personal SSN can trigger a notice. Keep line 1 as your legal name and reserve the business name for line 2. Enter just one TIN. If you are unsure which to use, individuals and sole proprietors almost always use their SSN.

Where does the completed W-9 go?

This trips up a lot of first-timers: the W-9 does not get mailed to the IRS. You send it directly to the requester who asked for it, the client or institution onboarding you. Because the form carries sensitive data like your SSN, deliver it through a secure channel your requester provides rather than plain email when possible, and keep a copy for your records. With iFillPDF the document is filled privately in your browser and your information is not sold or shared, so you stay in control of where your TIN ends up.

Frequently asked questions

What is IRS Form W-9 used for?+

Form W-9 is the Request for Taxpayer Identification Number and Certification. You use it to give your correct Taxpayer Identification Number (your SSN or EIN) and legal name to a person or business that pays you, so they can report those payments to the IRS, typically on a 1099.

Who has to fill out a W-9?+

Usually U.S. freelancers, independent contractors, sole proprietors, single-member LLCs, partnerships, and vendors who are paid for services. If a client or institution asks you to certify your TIN, they will request a W-9 from you.

Do I send the W-9 to the IRS?+

No. The completed W-9 goes to the requester (the client, bank, or company that asked for it), not to the IRS. They keep it on file and use the information when they report payments to you. Never mail your W-9 to the IRS.

Is it free to fill out the W-9 online here?+

Yes. You can open the latest blank W-9, fill in every field, and download the completed PDF for free. There is no signup required to start filling, and you only sign in if you want to save the document to your account.

Which version of the W-9 should I use?+

Always use the current IRS revision. This tool loads the latest official W-9 PDF (Rev. March 2024) so you are not sending an outdated form. Using a stale version can cause your requester to send it back.

SSN or EIN: which one do I put on the W-9?+

Enter only one. Sole proprietors and individuals normally use their SSN. If you operate through an LLC, partnership, or corporation with an EIN, enter the EIN. Do not fill in both boxes; the requester needs a single matching TIN.

Can I e-sign the W-9?+

In most cases yes. Many requesters accept an electronic signature on the W-9. You can type or draw your signature, add the date, and download the signed PDF. If your requester has specific signing rules, confirm with them first.

Is my tax information secure?+

Your W-9 contains sensitive data like your SSN, so privacy matters. The form is filled in your browser, your information is not sold or shared, and you control whether the finished PDF is saved or simply downloaded and deleted.
